Compensation: $70,000 - $80,000 / annually

We are looking for a Business Systems Specialist to join our growing team and serve as a critical resource for the day-to-day support, optimization, and adoption of technology platforms used across our student housing portfolio. This role bridges the gap between operations and technology, ensuring our teams have the tools, training, and support they need to deliver exceptional resident experiences.

Reporting to the Director of Business Systems & Integration, here’s what you’ll be doing!

System Support & Administration

• Serve as a first-line support resource for business systems including Entrata, Elise AI, and other property management and leasing tools
• Troubleshoot system issues, escalate bugs to vendors, and track resolution timelines
• Manage user accounts, permissions, and access controls across all platforms
• Monitor system performance and proactively identify areas for improvement
• Maintain system integrations and coordinate with vendors on updates and patches

AI & Automation Tools

• Support the configuration and optimization of Elise AI and other conversational AI leasing tools
• Monitor AI performance metrics, lead response rates, and conversation quality
• Assist in building and refining automated workflows, chatbot scripts, and lead nurturing sequences
• Collaborate with leasing teams to ensure AI tools align with leasing goals and brand voice

Entrata Platform Management

• Support day-to-day operations within the Entrata property management platform, including:
• Leasing & application workflows
• Resident portals and communication tools
• Maintenance and work order management
• Reporting and dashboard configuration
• Assist in building custom reports and dashboards to support operational decision-making
• Coordinate with Entrata support and account management for escalated issues

Training & Enablement

• Develop and deliver training materials, SOPs, and how-to guides for onsite teams
• Conduct onboarding training for new hires on all relevant technology platforms
• Host recurring training sessions, webinars, or office hours to drive platform adoption
• Maintain a centralized knowledge base for system documentation and FAQs

Process Improvement

• Partner with operations, leasing, and marketing teams to identify workflow inefficiencies
• Recommend and implement system configurations that improve team productivity
• Participate in new software evaluations, pilots, and rollouts
• Gather feedback from end users and communicate product enhancement requests to vendors

Data Integrity & Compliance

• Ensure data accuracy and consistency across all platforms
• Support audit processes and data cleanup initiatives
• Help enforce data entry standards and best practices across the portfolio

• Bachelor's degree in Business, Information Systems, Real Estate, or a related field or equivalent experience
• 1–3 years of experience in a systems support, property management, or operations role
• Experience working in student housing, multifamily, or real estate strongly preferred
• Hands-on experience with Entrata or similar property management software (Yardi, RealPage, etc.)
• Familiarity with AI leasing tools such as Elise AI or similar platforms
• Strong communication skills with the ability to explain technical concepts to non-technical users
• Excellent problem-solving skills and attention to detail
